View Permissions Settings Set by CSV file
Overview of View Permissions Settings
View Permissions Settings allow you to configure “who” can view the Engagement Survey results for “which department/attribute items.”
Users who are granted view permissions will be able to perform the following actions:
View Results
View the "Results / Improvements" screen for departments/attribute items
Register Improvement Items
Register improvement items/action plans for departments/attribute items
*If no Action Plan Manager is assigned to the department/attribute item in “Action Plan Manager Settings,” registration is not possible.
There are two ways to configure view permissions. This article explains the procedure using a CSV file.

View permissions can only be granted to users with the role “Action Plan Manager.” In the User Settings, make sure to assign the "Action Plan Manager" role to users before proceeding with this setting. Operation Steps
① Click “Admin” ▶ “View Permissions Settings” ▶ “Setup in CSV”
② Select the survey implementation date / character encoding
Character Encoding
You can choose from the following character encodings:
UTF-8
A multilingual character encoding that supports platform-dependent characters and foreign languages.
Shift-JIS
A commonly used character encoding for Japanese.
Note: Using platform-dependent characters or foreign languages not supported by Shift-JIS may result in character corruption (mojibake).
③ Download the file
View permissions can also be granted for previously conducted Engagement Surveys.
Two types of downloadable files are available. Please choose the one that best fits your needs.
A: List File
A file that reflects the view permission settings as of the download time.
B: Recommended File
This file includes not only current settings but also the following pre-configured view permissions:
When "Target only primary department" is selected:
・The primary department the Action Plan Manager belongs to, and its subordinate departments
・Custom tabulations of the primary department and its subordinate departments
When "Target all departments (primary and concurrent)" is selected:
・All primary and concurrent departments the Action Plan Manager belongs to, and their subordinate departments
・Custom tabulations of those departments and their subordinates
④ Edit and save the exported CSV file
For details on how to create the file, please refer to "How to Input the CSV File."
⑤ Upload the file via “Import File” and click “Run Bulk Settings”
⑥ From “View Permissions Settings in CSV Edit History(Last 5 times)” confirm that the “Registration Result” is set to “Success”
⑦ From the “List of Granted Permissions” confirm that the viewable departments/attribute items have been configured
Once configured, view permissions will be carried over to the next survey.
How to Input the CSV File
A: List File
This file reflects the current view permissions at the time of download.
Enter “1” in the cells where the user and the department/attribute item to be granted view permissions intersect.
File Description
・Column A: Departments / Attribute items set in the survey
・Row 1: User names whose role is Action Plan Manager and whose service login availability is “enabled”
・R: Sections configured via “Rule Settings”

B: Recommended File
This file includes not only the current view permission settings at the time of download but also the following configurations:
When “Target only primary department” is selected:
・The primary department the Action Plan Manager belongs to, and its subordinate departments
・Custom tabulations of the primary department and its subordinate departments
When “Target all departments (primary and concurrent)” is selected:
・All primary and concurrent departments the Action Plan Manager belongs to, and their subordinate departments
・Custom tabulations of those departments and their subordinates
If you want to make changes, add or remove “1” where necessary.
File Description

Initial View Permissions in the Recommended File
Departments
“1” is assigned to all departments the Action Plan Manager belongs to and their subordinate departments.
Attribute Items
Attribute items linked to the Action Plan Manager will not be assigned “1.”
Custom Tabulation Items
“1” is assigned when the department the Action Plan Manager belongs to (and its subordinates) are included in the custom tabulation.
In Custom Tabulation Advanced Settings, for combined items
If the Action Plan Manager belongs to both the integrated department/attribute item and all its subordinate departments/subordinate attribute items, a “1” will be displayed.
If any department or attribute item does not have an assigned Action Plan Manager, the “1” will not be displayed.
Detailed Specifications
・ Leave the cell blank if you do not want to grant view permission. Even if a value other than “1” is entered, the view permission will still be reflected as if blank.
・ It is okay to delete entire rows/columns for departments/attribute items or Action Plan Managers that you don’t want to change. This will not revoke existing permissions.
・ If both rule settings and CSV file settings are used, and their permissions overlap, the rule settings will take priority.

When Permissions Are Carried Over to the Next Survey
The timing for view permissions to be carried over to the next Engagement Survey differs depending on the survey implementation method.
When conducting the Engagement Survey via Web
The view permissions from the previous survey will be carried over on the “Survey Start Date” of the new survey.
When conducting the Engagement Survey via Print
The view permissions will be carried over when you click “Reflect Results Data.”
*Permissions will only be carried over for items where both department and attribute item names match exactly.
