Check Response Status
You can check the response status for each user and by organization/attribute during the implementation of the Engagement Survey.
How to View the Response Status Screen
1. Registered Users' Response Status
The response rate, number of responses, and number of non-responses are displayed only for registered Motivation Cloud Engagement users (including those using IDs and linked LINE WORKS accounts).
- Numerator: Number of "Responded" users
- Denominator: Number of users categorized as "Before Receiving Notification", "No Access", "In Progress", or "Responded"
2. Unregistered Users' Response Status
The response status of unregistered users (those expected to respond via a shared URL or QR code) is displayed. You cannot check the response status of individual users. The information displayed includes the following:
- Number of "Responded" cases
- Number of available responses: The maximum number of responses allowed for users not registered in Motivation Cloud Engagement
- Remaining number of available responses: The maximum number of responses minus the number of "Responded" cases
3. Organizations/Attributes Without Displayed Results
- The number of organizations/attributes that do not display results even after compilation due to having fewer respondents than the minimum required number set in the "Operational Settings"
4. Number of Organizations/Attributes Below the Selected Response Rate
- The number of organizations/attributes below the response rate selected from the dropdown menu
5. Response Period (Response Period Extension & Response Compilation)
- Displays the remaining days of the response period
- You can extend the response period or start the compilation
6. Survey Reminder Email Settings
- The number of survey reminder emails sent during the response period
- You can send survey reminder emails
Check the Response Status by User
1. Click "Admin" ▶ "Engagement Survey Response Status" ▶ "User Response Status Details"
2. Select the "User" tab, set the conditions, and search
- Before Receiving Notification: Users who have not received the Survey Invitation Email or the Survey Reminder Email
- Unanswered: Users who have not accessed the response URL after receiving the email or who have not clicked "Next" on the organization/attribute selection screen
- In Progress: Users who have stayed on the question screen for more than one minute or who have clicked "Next" on the question screen
- Answered: Users who have clicked "Complete Response" on the final screen
Timing for changing the respondent’s response status to "Unanswered" or "In Progress"
- When "Organization/Attribute Selection During Survey Response" is set to "Let respondents select organization/attribute"
It will change to "In Progress" when the respondent selects an organization/attribute and proceeds to the next screen. - When "Organization/Attribute Selection During Survey Response" is set to "Do not let respondents select organization/attribute"
Users who have stayed on the question screen for more than one minute or have clicked "Next" on the question screen are considered as having responded, and their status changes to "In Progress".
Download Response Status Data by User
1. Click "Download"
2. Select "Character Encoding" and click "Download"
Character Encoding
The following character encodings are available for selection.
Shift-JIS
It is a commonly used character encoding for Japanese. If you use characters not supported by "Shift-JIS", such as device-dependent characters or foreign languages, garbled characters may occur.
UTF-8
This is a multi-language character encoding that supports device-dependent characters and foreign languages.
Check the Response Status by Organization/Attribute
1. Click "Attribute Response Status Details"
2. Select the "Organization/Attribute" tab, enter the conditions, and search
The response rate and number of responses include both registered users and unregistered users without email addresses for each organization/attribute.
- Response Rate
Numerator: Number of "Responded" users (including unregistered users)
Denominator: Number of registered users + number of unregistered users who responded (those responding via QR code or shared URL) - Number of Responses
