Setting Up Implementation
① Click "Admin" ▶ "Focus Survey Implementation Settings" ▶ "Registration"
② Configure the questions to be used
The Focus Survey can be conducted for the entire organization or for specific units or attributes by combining "Questions on Improvement Items" and "Custom Questions." Select "Use" or "Do Not Use" for each question type.
-
Questions on Improvement Items
These are questions tailored to the registered improvement items.
Be sure to register improvement items in advance.
-
Customizable Questions
You can freely create questions to ask respondents.
If you wish to use only Custom Questions, set "Questions on Improvement Items" to "Do Not Use." Improvement item registration is not required in this case.
③ Set the survey schedule
Specify the "Start date of answer" "Start Time," "End date of answer" and "End Time."
The Focus Survey notification email will be sent even if users are set to "Do Not Send" emails in their settings.
If you wish to set the survey to repeat, check "Repeat Execution" and configure the "Repeat Interval" and "End Date."
Multiple Focus Surveys will be automatically created within the specified period based on the repeat interval and response period.
④ Set the reminder date and time for non-respondents
Click "Auto Set" to automatically configure an appropriate date and time.
⑤ Click on the Implementing Organizations/Attributes
⑥ Check the organizations/attributes to be included and click "Set"
If you want to include all organizations/attributes, check "Select All."
⑦ Click "Register"
⑧ Review the notes and click "Close"
If "Do Not Use" was selected for Custom Questions, the setup is now complete.
Set Up Custom Questions
Custom Questions configured here will apply to all repeated Focus Surveys. You can later edit them in bulk or individually if necessary.
⑨ Select the language and click the "pencil icon"
⑩ Enter the title and description, then click "Confirm"
⑪ Click "Additional Question"
⑫ Enter the language, answer requirement, question text, supplemental note, and answer, then click "Confirm"
⑬ Select the organization/attribute to display in the response list file
Responses to Custom Questions can be downloaded after the response period ends. To protect anonymity, only one organization/attribute is shown per respondent. Please select which organization/attribute (e.g., "Department," "Team") you want displayed.
- Once the response start date and time has passed, you cannot change the display organization/attribute.
- Only one organization/attribute can be selected. If a hierarchy is set, all higher levels will also be displayed.
- If the number of respondents is one or fewer, data for that organization/attribute will not be displayed.
For details on the response list file, see "About the List of Answers to the Focus Survey Customizable Questions."
⑭ Click "Register"
You can save your current settings by clicking "Save Draft." Note that the Focus Survey will not start while Custom Questions remain in draft.
