What is the Organization List File?

The Organization List File is a CSV file used for bulk registration, modification, and deletion of organizational data. By uploading this CSV file to Motivation Cloud Engagement, you can register multiple organizations at once.

Before Downloading the Organization List File

If you are registering organizations for the first time, please configure the language settings of your organization before downloading the organization list format.

Set Organization/Attribute Language

STEP 1: Enter Organizational Unit and Department Information

1. Enter the organization hierarchy code and organization unit name (in Japanese), as well as the department code and department name (in Japanese).

The display order of departments on the results screen and elsewhere follows the order listed in the CSV file. If hierarchy settings are applied, the order of the organization hierarchy levels (Column C) will take precedence.

If you have set up languages other than Japanese

2. Enter “Organizational Unit Name” and “Department Name” in languages other than Japanese in columns starting from Column H.

• The languages configured in the “Language Settings” will be displayed in the CSV file.
• If respondents change the language while answering, the department names configured here will be displayed on the response screen.
• If organizational unit and department names in languages other than Japanese are not registered, the department names in Japanese will be displayed on the survey response screen.

<Supplement>

If you want respondents to select a department

Respondents can choose “None of the above” in addition to the registered departments on the survey response screen. If you want to check the results for the “None of the above” option, you need to register an item like “Other”. It is not possible to check the results for “None of the above” alone.

STEP 2: Set the Organizational Hierarchy

In the hierarchy settings, configure the parent and subordinate departments according to the organization chart. For example, if there is a “Sales Division” under the “Sales Headquarters” and a “Sales Section 1” under the “Sales Division,” link these departments accordingly. This setting ensures that when configuring the lowest-level department for each user in the user settings, the user will automatically be associated with higher-level departments as well.

Enter the hierarchy level, parent department code, and parent department name

• Organizational Unit Level (Column C) is required.
• Parent Department Code (Column F) and Parent Department Name (Column G) are only required if there is a parent department.

Example: In the case of the “Sales Division” in row 4 of the diagram below, if its parent department is “Sales Headquarters,” enter “D-1” in Column F and “Sales Headquarters” in Column G.

• Other Detailed Specifications
  • An error will occur during import if the first row of the CSV file is edited.
  • If the organizational hierarchy levels (Column C) are the same, department names (Column F) cannot be registered redundantly.
  • There may be a limit on the number of departments available depending on the plan.
    
    

• If you are using the Admin Panel in English
  Some screens in the Admin Panel do not allow switching the language in which organization names are displayed. Therefore, organization names may appear in Japanese even when the Admin Panel is set to English.
  To display organization names in English, register the department names in English in the Organization Settings.
